Terms of Service

Effective date: October 9, 2026

These Terms of Service (“Terms”) govern your use of paxlibrasolutions.com (the “Site”) and your engagement of Pax Libra Solutions LLC (“Pax Libra”, “we”, “us”) for bookkeeping, business operations consulting, and notary services. By using the Site or engaging our services, you agree to these Terms. If you have a signed engagement letter or statement of work with us, that document controls where it differs from these Terms.

1. Who we are

Pax Libra Solutions LLC is a Missouri limited liability company based in Kansas City, Missouri. We provide bookkeeping and financial operations support, business operations and AI readiness consulting, and notary public services.

2. What our services are and are not

Bookkeeping and consulting are provided by a bookkeeper and operations consultant, not by a certified public accountant or attorney. We do not provide audit, review, or attestation services, tax return preparation, legal advice, or investment advice. Financial statements we prepare are compiled from records you provide and are not audited. You are responsible for the accuracy and completeness of the records you give us and for decisions you make based on our work. Notarial acts are performed in accordance with Missouri law; a notary may not give legal advice, choose the type of notarization for you, or notarize a document that is incomplete or where the signer is not present with acceptable identification.

3. Engagements, fees, and payment

Scope, fees, and timing for services are set in a written engagement letter, proposal, or statement of work. Notary fees follow the maximum allowed under Missouri law, plus any agreed travel fee for mobile service. Invoices are due as stated on the invoice. We may pause work on past-due accounts after notice.

4. Your responsibilities

You agree to provide timely, accurate, and complete information; to keep your own copies of source documents; to review the work we deliver and tell us promptly about anything that looks wrong; and to keep the credentials for any system you give us access to current and secure.

5. Connected accounts, including QuickBooks Online

Where you authorize Pax Libra to connect to your accounting, banking, payroll, or giving platforms (for example, by granting our Intuit QuickBooks application access to your QuickBooks Online company), we access only the data needed to perform the services, use it only for your engagement, and keep it confidential. You may revoke that access at any time from the platform’s own settings (for QuickBooks Online: Settings → Apps → Connected apps). Revoking access does not end an engagement or remove fees already earned. Our handling of your information is described in our Privacy Policy.

6. Confidentiality

We treat your financial records, donor and member information, payroll data, and business plans as confidential. We do not sell your information. We share it only with people and systems needed to do the work (for example, your accountant, your bank, or the software you have asked us to use), or when the law requires.

7. Our work product and your data

Your books, records, and data remain yours. Templates, checklists, methods, and tools we bring to the engagement remain ours; you may use the deliverables we produce for you in your own business.

8. Website use

You may use the Site for lawful purposes. Do not attempt to interfere with the Site, probe its security, scrape it in bulk, or use it to send unsolicited messages. Content on the Site is general information, not advice for your situation. The Site may link to or embed third-party services (for example, scheduling and form tools); their terms apply to your use of them.

9. Disclaimers and limitation of liability

The Site and our services are provided “as is” to the extent allowed by law. To the fullest extent permitted by Missouri law, Pax Libra’s total liability for any claim arising from the Site or an engagement is limited to the fees you paid us for the services giving rise to the claim in the twelve months before the claim, and we are not liable for indirect, consequential, or lost-profit damages. Nothing here limits liability that cannot be limited by law.

10. Ending an engagement

Either of us may end an engagement with written notice as described in the engagement letter, or with 30 days’ notice if it says nothing. You remain responsible for fees earned through the end date, and we will return or hand off your records in good order.

11. Governing law and disputes

These Terms are governed by the laws of the State of Missouri. Any dispute will be brought in the state or federal courts located in Jackson County, Missouri, unless a signed engagement letter says otherwise. We both agree to try in good faith to resolve any dispute directly before filing.

12. Changes to these Terms

We may update these Terms by posting a new version here with a new effective date. Continued use of the Site or services after a change means you accept it.
